New Milford Public Schools is looking for an Excellent Administrative Secretary for Director of Fiscal Services and Operations (.5) and to Director of Human Resources (.5) The Central Office Secretary will provide dedicated administrative support to both the Director of Fiscal Services and the Director of Human Resources. This dual-support role requires exceptional organizational skills, attention to detail, and the ability to handle confidential information across both financial and personnel functions within the district.
Classification I
12 Month Position
M-F - 8:00 AM - 4:00 PM Essential Functions: Human Resources Support (50% of role) - Responsible for Veritiime - human resources department time and attendance record keeping system.
- Manage and facilitate job postings using Applitrack and other online Social Media sites.
- Assist with recruitment processes including posting job openings, scheduling interviews, and coordinating candidate communications
- Maintain personnel files and ensure compliance with state and federal record-keeping requirements
- Assist with the processing of new hire paperwork including employment contracts, background check documentation, and benefit enrollment forms
- Assist with employee onboarding processes and orientation materials
- Handle confidential HR correspondence and communications
- Assist with workers' compensation claims and documentation
- Maintain employee databases and generate HR reports as needed
Fiscal Services Support (50% of role)- Coordinates posting of bids/proposals for the Business Office.
- Assist in the preparation and production of annual budget books, fiscal reports and year-end reporting.
- Process purchase orders and requisitions in accordance with district policies
- Coordinate with vendors and service providers
- Handle confidential financial correspondence and communications
General Administrative Duties - Provide exceptional customer service to staff, vendors, and community members
- Answer and direct telephone inquiries to ensure the efficient operation of each department.
- Maintain organized filing systems for both HR and fiscal documents
- Coordinate meetings, prepare agendas, and take meeting minutes as needed
- Manage calendars and scheduling for both directors as needed
- Maintain schedules and calendars for state required reports across each department.
- Maintain strict confidentiality of personnel and financial information
- Assist with preparation of state and federal reports related to staffing and finances
Qualifications: - High-level secretarial skills and ability to work with minimal supervision.
- Excellent planning and organizational skills with high attention to detail.
- Associate's degree in Business, Human Resources or related field-preferred.
- Business writing, mathematical competency and problem-solving skills.
- Exhibit tact with information and communications given and received.
- Ability to maintain a stationary position for extended periods of time to operate computer, printer, telephone and other desktop equipment.
- Move about the Central Office to access cabinet files, copy room materials, and attend meetings.
- Periodically meet with colleagues, staff, and vendors as needed.
- Communicate with staff and external stakeholders virtually and in-person.
